The type of personal information we collect
We currently collect and process the following information:
Personal identifiers, contacts and characteristics (for example, name, telephone and email contact details)
Phone numbers, via optional event whatsapp groups that attendees elect to join
With consent, we gather emergency medical information from guests, such as known medical issues, allergies and medication in line with British Cycling guidelines. This is shared with trip guides to facilitate the safety of guests on trip, and to pass on to hospitals in case of emergency.
Cookie, IP (location) data, usage data for website analytical purposes. In some cases, we work with third party suppliers who may also set up cookies on our website such as Google Analytics, Facebook, and Google Adwords.
You can set your browser not to accept cookies, and you can remove cookies from your browser. Some of our website features may not function as a result.

How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
You have booked on to a trip or event
You have signed up to a waiting list for an event
You have consented to join your mailing list
You have contacted us by email, or by the contact form on the website.
Information about you that you provide when completing optional surveys e.g. feedback forms
You have contacted us by another means (e.g. social media) and provided personal data or consent to be contacted
We also receive personal information indirectly, from the following sources in the following scenarios:
Occasionally we receive personal information from somebody booking on your behalf or as gift.
We use the information that you have given us in order to:
To enable us to keep in contact with you about an event you have booked on
To enable us to run the trips, we need to share your information with our trip vendors including accommodation providers, activity providers, guides, and other parties involved in a trip or event.
To create sign in/registration sheets at our events which allow us to keep track of
To pass on to emergency services or guides/first aiders where relevant to an emergancy situation (with your prior consent)
To communicate with you about new events and topics we think you might be interested in via the SITW newsletter
To let you know that spots or new dates have become available on a trip you have specifically registered interest in.
To share with you after a trip photos, a feedback form, and any tips from the trip.
We may share this information with third party vendors who provide services for our trips, and guides and support crew who need to understand the people who are on a trip..
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent.
You are able to remove your consent at any time. You can do this by clicking “Unsubscribe” on any promotional email, or by contacting hello@sistersinthewild.com
(b) We have a contractual obligation.
In order to fulfil our contractual obligation to you and provide the event or trip you have booked, we are required to capture process certain personal data outlined above, and pass it on to third party suppliers where necessary.
How we store your personal information
Your information is securely stored.
Order Information
We keep order related information for as long as is necessary to process and execute the purpose it was given for.
Mailing list info
Emails and data provided as part of a sign up to a mailing list will be kept until consent is removed by the user unsubscribing from the email.
Emergency contact and medical information
We retain one copy of this information securely to ensure we have relevant information to hand in case of an issue or claim being raised after an event. All other audiences (e.g. guides) that it was needed by to safely execute a trip are asked to delete from their devices.
We will take all steps reasonably necessary including policies, procedures and security features to ensure that your data is treated securely and protected from unauthorised and unlawful access and/or use, and in accordance with this notice. Unfortunately, the transmission of information via the internet is not completely secure and, although we will do our best to protect your personal data transmitted to us via the internet, we cannot guarantee the security of your data transmitted to our website from your device. Any transmission is at your own risk.
Where any payments are being collected on our behalf, we require our payment providers to be compliant with the Payment Card Industry’s Data Security standards (PCI-DSS).

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
